Engineering & Community Development Administrative Assistant

Job Responsibilities:

This position involves secretarial, administrative, and clerical work primarily in the Engineering & Community Development Department but also in other Township departments. Work includes supporting the functions of the code enforcement officers, engineering inspectors, and the department director, and affiliated boards and commissions; maintaining permit, license, and inspection data; handling sensitive departmental and Township records and matters in a discreet and confidential manner; routine record keeping, filing, typing; and frequent contact with building contractors, homeowners, and the general public. Serve customers by providing information; responding to requests; answering telephone calls; resolving problems; collecting revenue; issuing permits; handling money and filing reports, and Right to Know Requests.

Job Duties:

  • Greet all visitors to the department and screen telephone calls for the director and their immediate staff, and route calls accordingly.
  • Compose, type and file correspondence and memoranda for the Engineer/Director, and other department staff and monthly and annual departmental, outside agency, and commission reports.
  • Accept, review, process, file, and maintain grading, clearing, and highway occupancy permits, subdivision applications, public improvement escrow records, receipts, building permits, and invoices.
  • The Administrative Assistant will also become fully capable of processing building permits, Zoning Hearing Board applications, Design Review Board applications, Planning Commission applications, as well as other items associated with the activities of this Department.
  • Maintains various codes and engineering benchmarks, workload indicators, and performance measurement statistics as may be required by Department regulations and/or Township-wide policies. Required to manage and scan into Munis and laser fiche.
  • May act as secretary of the Planning Commission, Subdivision Advisory Committee, Design Review Board, and/or Historical Architectural Review Board preparing and distributing meeting agendas, minutes, and related correspondence. Attendance at the meetings to prepare the meeting minutes is required.
  • Prepares monthly and annual reports on various Departmental activities for distribution to the Board of Commissioners, Township staff and the public.
  • Performs related secretarial and administrative work, as directed.

 

Knowledge, Skills, and Abilities

  • Outstanding interpersonal communication skills are essential, with the ability to interact tactfully, courteously, and effectively with the public, real estate developers, applicants, department heads and supervisors, and fellow employees.
  • Strong typing and computer aptitude required, having thorough working knowledge of personal computers.
  • Must be skilled in the use of Microsoft Office Suite (latest version), Munis, laser fiche, and be able to become skilled, with Township training, on new software that may be obtained.
  • Ability to operate office equipment - such as plotter, copiers, fax machines, and scanners - and possession of strong organizational, recordkeeping, and filing skills is essential; ability to take meeting notes and properly transcribe them for the appropriate committee and staff.
  • Knowledge of or ability to quickly learn basic aspects of the Township subdivision, zoning, and other related codes, policies, and procedures, including those of the Department.

 

Other General Working Conditions

  • Sitting and certain repetitive motions required on a regular basis, while operating personal computer and other office equipment.
  • Regular bending and reaching required while filing correspondence, reports, etc.

 

Minimum Requirements of Training and Experience

  • High school diploma or equivalent is required; graduation from an accredited business school or an associate or bachelor’s degree is preferred.
  • Minimum of five years increasingly responsible experience as a secretary or permit clerk in a progressive, computerized office environment is required, preferably with a municipality, engineering, or construction firm. A business school diploma or an associate degree may be substituted for one-year experience; a bachelor’s degree may be substituted for three years of experience.
